POSITION PURPOSE:

Performs a variety of general office duties in support of Project Enlightenment. Responds to inquiries and researches replies to questions posed by school system staff, parents, and others seeking information about Project Enlightenment programs and activities.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Considerable knowledge of Microsoft Office specifically Word, Excel, and PowerPoint; Google Apps;
  • Working knowledge of bookkeeping and accounting procedures;
  • Effective time management skills;
  • Excellent customer service skills with the ability to calmly route concerns to appropriate staff;
  • Excellent proofreading skills;
  • Critical thinking and problem solving skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to work independently without close supervision;
  • Ability to establish and maintain effective working relationships with school system staff, external agencies, parents, and the community.


EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent;
  • Experience as a secretary working with a variety of duties.


CERTIFICATION AND LICENSE REQUIREMENTS

None

PREFERRED QUALIFICATIONS:
  • Secretarial experience in a public school setting;
  • Experience performing data entry.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Performs a variety of general office duties in support of Project Enlightenment.
  2. Answers incoming phone calls to the office and provides a broad range of information around the needs of young children and their families.
  3. Schedules appointments, sends reminders for developmental screenings, and performs extensive data entry to enter data related to screenings
  4. Serves as the in-take representative for Project Enlightenment. Accepts and organizes intake paperwork submitted by families and educators in Wake County.
  5. Supports Teacher Parent Consultants with incoming referrals and data entry.
  6. Maintains a working knowledge of all services offered through the Office of Early Learning. Supports families in connecting with representatives in each service area.
  7. Provides support across all service areas at Project Enlightenment by preparing and distributing correspondence and information related to professional development, the Demonstration Preschool, developmental screenings, teacher-parent consultation, and other offered services.
  8. Maintains and prepares files, databases, and referral folders for Project Enlightenment related needs. Attends and participates in required professional development, Project Enlightenment meetings, and committees, as required.
  9. Helps maintain the Project Enlightenment calendar for internal and external groups utilizing meeting spaces throughout the building.
  10. Performs other related duties, as assigned.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This position operates in a professional office and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, parents, staff members of external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
