POSITION PURPOSE:

Responsible for supporting a variety of duties related to Facilities - Information Systems, including, contract documents, assuring adherence to district standards, contract review and creation, and process evaluation.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Extensive knowledge of Microsoft Office 365, specifically Word, Excel, and PowerPoint; Google Applications;
  • Knowledge of construction project management tools:
  • Critical thinking, analytical and organizational skills;
  • Ability to spot errors and keen attention to detail;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to learn and research new concepts, ideas, and technologies efficiently;
  • Ability to work independently and complete tasks in the absence of clear direction;
  • Ability to work well within a team environment that values an open exchange of ideas;
  • Ability to establish and maintain effective working relationships with employees, design professionals, contractors, principals, other school system staff, and external agencies.


EDUCATION, TRAINING, AND EXPERIENCE
  • Post-secondary education or training; AND
  • Three years' experience working in Business, Facilities, Construction, or related field; AND
  • Experience with project management software (Kahua, Primavera Contract Manager, Maximo); AND
  • Experience working with construction service proposals and bid documents.


An equivalent combination of education, training, and relevant experience that provides the knowledge, skills, and abilities necessary to successfully perform the essential duties of the job may be considered .

CERTIFICATION AND LICENSE REQUIREMENTS
  • Must hold and maintain a valid motor vehicle operator's license according to the State of North Carolina requirements.


PREFERRED QUALIFICATIONS:
  • Associates Degree
  • Experience with business process development.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Utilizes Wake County Public School System Project Management Software (Kahua) to prepare and update contracts.
  2. Manages communication and information exchange between internal Facilities, Design, and Construction departments, other school system departments, and external stakeholders.
  3. Provides technical support and training on project management contract policies and standards, methodologies, and processes across all phases of the project.
  4. Utilizes project management software and databases to prepare reports for presentations to Wake County Board of Education, Superintendent's Leadership Team, public information sources.
  5. Ensures and comply with district policies, procedures and timelines for processing contracts.
  6. Participates in and acts as the "super user" for the phased implementation and deployment of FD&C's program and project management software (Kahua); collaborates with the Information Systems Supervisor and Director of Facilities Information Systems to develop and test new processes and tools related to software implementation.
  7. Conducts training to internal staff members on Kahua and other applications.
  8. Collaborates with the Systems Analyst on testing software upgrades.
  9. Performs other related duties, as assigned.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff and staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
