POSITION PURPOSE

Supports the Senior Director of Curriculum, Instruction, and Assessment by handling clerical and administrative duties including fiscal processes, contracts, textbook and resource management responsibilities.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Extensive knowledge of Microsoft Office, specifically Microsoft Word and Excel; Google Apps;
  • Effective time management skills and organizational skills;
  • Ability to work independently and to meet deadlines while working with frequent interruptions and minimum supervision;
  • Ability to use a computer-based textbook management application;
  • Ability to complete complex tasks and minimize errors with attention to detail;
  • Ability to communicate professionally, clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to maintain detailed files and databases of circulating vendor books and able to prepare concise and accurate reports;
  • Ability to understand, interpret, and apply specific rules and regulations governing the processing of fiscal documents, maintenance of financial records, and the preparation of fiscal reports;
  • Ability to demonstrate knowledge and good judgment in matters of district policies and procedures;
  • Ability to establish and maintain effective and professional working relationships with school system employees and vendors.
  • Ability to establish and maintain effective working relationships with school system staff, students, parents, external agencies, and local, state, and national arts community groups.


EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent.


CERTIFICATION AND LICENSE REQUIREMENTS
  • Must hold and maintain a valid motor vehicle operator's license according to the State of NC requirements.


PREFERRED QUALIFICATIONS:
  • Associate's degree in business, communications or related field; AND
  • Four years of work experience in a related field; OR
  • An equivalent combination of education and relevant experience sufficient to successfully perform the essential duties of the job such as the ability to understand, interpret, and apply specific rules and regulations governing the processing of fiscal documents, maintenance of financial records, and the preparation of fiscal reports.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Provides administrative and clerical support to the Senior Director of Curriculum, Instruction, and Assessment, including organizing meetings and handling correspondence.
  2. Maintains the Curriculum, Instruction, and Assessment departmental general ledgers, processes budget transfers, handles purchase orders, direct pay requests, contracts, and service agreements.
  3. Monitors and processes departmental staff time records, leave requests, travel reimbursements, and substitute teacher pay for professional development as well as maintains an efficient recordkeeping system for accurate data retrieval and preparation of required reports.
  4. Creates requisitions in Oracle for all school and department textbook orders, ensuring timely distribution of materials.
  5. Collaborates with the internal warehouse and communicates with schools regarding the status of textbook orders and any discrepancies.
  6. Assists schools and departments with product selection, procurement, and replacement of lost or damaged district materials as well as the redistribution of textbooks and related instructional resources to meet demand.
  7. Maintains inventory levels for district-wide curriculum to ensure adequate supply and availability.
  8. Tracks and submits print-ready files to vendors, maintaining an electronic log to monitor submission dates, vendor confirmations, and proof approvals as well as assists curriculum staff with preparing and editing the files.
  9. Coordinates with curriculum staff to ensure timely ordering and receipt of K-12 materials for annual adoption and growth.
  10. Performs other related duties, as assigned.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, students, parents, external agencies, and the community. Work is considered light physical work, requiring the exertion of up to 20 pounds of force. The work requires driving automotive equipment.
