POSITION PURPOSE:

Processes and ensures accurate tracking of documents and records for warehouse operations in accordance with North Carolina General Statutes and Wake County Public School System (WCPSS) procedures. Serves as a liaison between vendors, procurement staff, warehouse personnel and WCPSS staff with warehouse inventory and operations. Performs a variety of general office duties to support the activities of the warehouse including receiving telephone calls, preparing reports, and providing effective customer service. Provides quality control and conducts thorough inspections of inventory received from external parties.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Considerable knowledge of state rules, regulations, and laws regarding procurement and disposition of property;
  • Considerable knowledge of materials requirement planning (MRP);
  • Considerable knowledge of Microsoft Office specifically Word, Excel, and PowerPoint; knowledge of enterprise resource systems (i.e., Oracle); Google Apps;
  • Knowledge of warehouse operations as it relates to ordering, disposition, delivery, and inventory management;
  • Effective problem solving skills;
  • Strong customer service skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to complete tasks and minimize errors with attention to detail;
  • Ability to establish and maintain effective working relationships as a team member;
  • Ability to work independently, complete tasks, and exercise independent judgment in the absence of clear directives;
  • Ability to establish and maintain effective working relationships with school system staff, external vendors/agencies, and the public.


EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent;
  • Three years of experience in warehouse operations and clerical support in an office setting or in a related field;
  • Other combinations of applicable education, training, and experience which provide the knowledge, skills, and abilities necessary to perform effectively in the position may be considered.


CERTIFICATION AND LICENSE REQUIREMENTS

None

PREFERRED QUALIFICATIONS:
  • Associate's degree in a related field;
  • Training and/or post-secondary coursework in project management, business analytics, and procurement.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Responsible for the processing of warehouse requisitions and returns and discrepancies; oversees discrepancy tracking, ensuring timely and efficient rectification.
  2. Collects and ensures surplus documentation is maintained and is accurately tracked using an equipment record and disposition form (ERD).
  3. Performs a variety of general office duties to support the activities of the warehouse including receiving telephone calls, maintaining and updating records, preparing documents, and providing effective customer service.
  4. Provides clear and concise information to warehouse staff (i.e., drivers, warehousemen, procurement staff, and vendors) regarding deliveries to be received and of those processed.
  5. Provides quality control and conducts thorough inspections of items received from external parties.
  6. Generates reports for the System Trainer/Analyst and Purchasing Manager.
  7. Serves as the liaison for surplus sales and pickup, as needed.
  8. Performs other related duties, as assigned.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This position operates in a professional office and warehouse environment. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, external agencies, and the community. Work is considered medium physical work, requiring the exertion of up to 50 pounds of force.
